Student Affairs Department

The Student Affairs Department is a structural unit responsible for registering newly admitted students and processing essential documentation throughout their period of study in accordance with the legislation of the Republic of Azerbaijan. In its operations, the Department is guided by the effective legislation of the Republic of Azerbaijan, the University Charter, and decisions of the Academic Council.

The Department was established in 1993 under the name “Student Department”. Since April 12, 2017, it has continued its activities under the name Student Affairs Department.

Maintaining discipline, monitoring attendance, and promoting a healthy lifestyle, which form the foundation of quality education, are among the core functions of the Department.

The functions of the Student Affairs Department also include obtaining diplomas for graduates of Azerbaijan University from the Ministry of Science and Education, as well as issuing duplicate diplomas.

The Department performs the following duties regarding the University’s student body:

  • Organizing and conducting the admission of documents for undergraduate and graduate students enrolled through the State Examination Center (SEC);
  • Preparing, registering, managing, and storing personal files of individuals admitted to bachelor’s and master’s degree levels at Azerbaijan University throughout their studies;
  • Issuing student ID cards;
  • Preparing official statistical reports on admissions for the State Statistics Committee and the Ministry of Science and Education of the Republic of Azerbaijan;
  • Managing documentation for students reinstated at the University, dismissed, or transferred to another university, and entering all official orders into the “Student-Graduate” state electronic information system and the Subsystem for Higher and Secondary Specialized Education (AOITAS) utilized by higher and secondary vocational education institutions in the Republic of Azerbaijan;
  • Preparing information on graduates and entering it into the Education Management Information System (TIMS) of the Ministry of Science and Education;
  • Submitting orders for diploma blanks to the Ministry of Science and Education of the Republic of Azerbaijan, as well as issuing, processing, and registering received diplomas as designated;
  • Transferring the personal files of University graduates to the archive;
  • Developing an electronic database of students;
  • Preparing orders based on presentations over the electronic document management system.
